Projects

Projects are the core of FreelioPro. Each project represents a client engagement with its own timeline, assets, invoices, and a dedicated client portal.

Create a New Project

Navigate to Projects → New Project or use the Quick Actions card on your dashboard. Fill in the project name, an optional description using the rich text editor, and select the currency for invoicing.

You can also upload a cover image to visually identify the project on your dashboard grid.

Set Up Timeline Steps

During project creation (or later in project settings), define timeline steps to track your workflow. Common steps include Design, Development, Review, and Delivery. Each step has a status that updates as you progress.

Free users can create up to 2 custom steps per project. Upgrade to a paid plan for unlimited steps.

Upload Assets & Deliverables

Inside a project, go to the Assets section to upload files for your client. You can upload any file type, images, videos, PDFs, documents, and more, and you can drag in several files at once for a bulk upload. Prefer to keep large files elsewhere? You can also attach an external link (such as Google Drive or Dropbox) instead of uploading. Each asset can be commented on by the client, and they can request revisions directly on specific files. Individual file size limits are determined by your subscription plan.

Free users can upload up to 3 assets per project (files or external links), with a 50 MB limit per file and 500 MB of total storage. Paid plans get unlimited assets, up to 2 GB per file, and 100 GB to 500 GB of total storage depending on the tier. See the Subscription & Plans guide for details.

Download Every File in a Project

Open any project and you will find a Download all button in the project header. It collects every file uploaded to that project into a single ZIP archive - useful for handing over a finished job, archiving completed work, or keeping a local copy alongside your own backups.

The archive is assembled in your browser and written straight to disk as it downloads, so nothing has to be prepared server-side first and the size of the project is not a problem. In Chrome and Edge you choose where to save it; other browsers build the archive in memory, which is fine for ordinary projects but may not cope with very large ones. Assets stored as external links are not included, since those files live in your own Drive or Dropbox rather than in FreelioPro.

Your clients get the same ability from their portal, and you can download every project at once from Account Settings.

Manage Client Feedback & Revisions

When a client views an asset through the portal, they can leave comments, request revisions, or approve the work. You will see feedback notifications on your Notifications page.

Revision requests appear with a status badge on the project card and asset detail view. Address the feedback, upload a new version, and mark the revision as resolved.

Track Project Completion

The Projects page displays all your projects as cards with a completion progress bar. Click on any card to see full details, assets, invoices, and the client portal link.
